PTO BOARD ELECTIONS FOR THE 2024-2025 SCHOOL YEAR
 

What do the officers do?

The PTO Executive Board consists of the five elected positions President, Vice President, Treasurer, Secretary and the Volunteer Coordinator.

 

President

The President presides at the meetings of the organization. With input from the Principal, the president is responsible for the affairs of the organization, and with the assistance of the Executive Board, shall execute and administer the Constitution and By-laws of the organization as established by the membership. The president shall review and propose revision of the Constitution and By-laws as needed. The president shall plan agendas for all meeting and shall call regular and special meetings as needed. The President with the Principal will set a proposed tentative calendar agenda of potential PTO activity dates for the upcoming school year, proposed dates for Board meetings, special PTO meetings, potential special activities, fund raising, and so on. The president shall represent the Sunset Heights Elementary School PTO at any relevant meetings (i.e. PTO President’s Meetings, Nashua School Board Meetings etc.)  APPROXIMATE TIME COMMITMENT: 2-4 Hours a Week

Vice President

The Vice President shall have overall responsibility for the standing committees. Shall preside over the meeting in the absence of the President. Shall perform other duties as prescribed by the Executive Board and or the president. Will have the ability to sign check in the absences of the treasurer.  APPROXIMATE TIME COMMITMENT: 1-2 Hours a Week

 

Secretary

The Secretary shall have the overall responsibility for developing, distributing and maintaining the minutes of the organization. The minutes shall include the names of all members in attendance as well as the treasurer’s update of funds. The Secretary will have the power to carry out the details of the organization as specified by the Constitution and By-laws. The Secretary shall distribute copies of the Constitution and By-laws to new officers and chairpersons as well as any other member who is interested and obtain authorizing signatures of this document on an annual basis. Handles the publicity function of the organization, as well as other duties as the PTO Board Members or the President may prescribe.  APPROXIMATE TIME COMMITMENT: 1 Hour a Week

 

Treasurer

The Treasurer maintains proper financial records for the organization and shall be responsible for disbursement of funds, as directed by the PTO Executive Board. The treasurer will deposit all funds received with a bank designated by the Executive Board. The treasurer shall report the financial condition of the organization to the regular members at the scheduled monthly PTO meetings. Most importantly the Treasurer acts as a liaison between the PTO and the identified accountant or designee to assure that tax documents are filed each year. The Treasurer will show proof of filing the annual Federal Tax Return at the earliest meeting subsequent to the due date, including extensions.  APPROXIMATE TIME COMMITMENT: 2-3 Hours a Week

 

Volunteer Coordinator

The Volunteer Coordinator is responsible for recruiting adult volunteers to fill the many volunteer opportunities at Sunset Heights Elementary School. The Volunteer Coordinator will work in conjunction with committee chairs to recruit volunteers for events. The Volunteer Coordinator is responsible for the Volunteer Welcome/ Orientation at the beginning of the school year. The Volunteer Coordinator is responsible for keeping a complete list of all volunteers with contact information. Along with the Principal and teachers, the Volunteer Coordinator shall coordinate the recognition of all volunteers during Volunteer Appreciation Week. The Volunteer Coordinator will be tasked with recognizing school staff during teacher appreciation week.  APPROXIMATE TIME COMMITMENT: 1-2 Hours a Week

 

Teacher Representative

The Teacher Representative shall be the official teacher liaison(s) officer. The Teacher Representative is not considered part of the Executive Board
